EHR-Integrated Credentialing: Questions to Ask Before Trusting the Module

Status: Draft
Featured image style: UI/UX mockup style

An EHR’s credentialing module may organize provider enrollment work without transmitting applications to CAQH or payers. Before relying on it, verify what “integrated” means, and what still depends on staff action.

A task board is not a payer connection

A dashboard can track deadlines, documents, and follow-ups while leaving every application submission and status update to your team. That is useful workflow support, but it is not proof of a live connection.

Ask the vendor to distinguish between:

  • Task tracking: The system records work for staff to complete.
  • Single sign-on (SSO): Users access another application through one login.
  • Data exchange: Systems send or receive defined information.
  • Live transaction: An application or status is transmitted and confirmed through a connected workflow.

CAQH’s participating-organization API documentation describes authorized roster and status-check functions. That does not establish a universal pipeline for submitting every payer application. Ask the vendor to name the exact CAQH product or service, its authorized connection, and the actions it supports.

For more on keeping CAQH information current, see our guide to CAQH updates and practice workflows.

Questions to ask before you trust the module

Request specific answers, and a live demonstration, for each question:

  1. What connects to CAQH? Does the module submit or update information in CAQH ProView, connect to a named DataSpring service, import data, or simply remind staff to log in? Which functions are authorized and available today?
  2. Which payers have live connections? Ask for a payer-by-payer list showing whether applications go through an API, roster, portal, fax, or paper process. Separate live production connections from reminders and planned features.
  3. How does status get back into the EHR? Does the module ingest payer receipt, requests for information, approval, effective date, and rejection details, or must staff enter them manually?
  4. How are deadlines managed? Confirm how it tracks recredentialing, reattestation, revalidation, and payer-specific due dates, and how it escalates overdue items.
  5. Can you audit and retrieve the record? Check for source-document storage, submission evidence, timestamps, user activity, status history, and a usable data export.
  6. What happens when provider details change? Have the vendor walk through a location move or TIN change. Ask how affected applications and payer records are identified, updated, and tracked.

Red flags in the demo

Be cautious when the demo shows a polished task board but no application transaction or status-sync flow; “integrated” means SSO only; the vendor cannot provide a current payer list; or you cannot export your provider data and documents.

A useful test: ask the vendor to show one application moving from preparation through submission to a payer response. If the response is only a manually updated task, you have not seen a live payer-status integration.

Veracity Take: Verify the workflow, not the label

Before signing, request a workflow diagram, current payer connection list, and sample transaction showing submission and status synchronization. Put data portability and export rights in the contract. Confirm a signed Business Associate Agreement (BAA) and request documentation of security controls, access management, and audit logging.

This protects your team from mistaking visibility for action. An illustrative scenario: a new provider appears “complete” on the EHR dashboard, but the payer application was never submitted. Claims then face delays while staff reconstruct the handoff. A clear transaction record surfaces the gap before it disrupts billing.

Technology should make the enrollment path visible from provider record to payer response. If the vendor cannot show the connection, treat “integrated” as unverified.
